Is this what you’re seeing?

  • A property or portfolio with a growing list of maintenance items nobody has prioritized or budgeted for
  • Uncertainty about which deferred items are urgent versus which can reasonably wait another budget cycle
  • Ownership or lenders asking for a documented capital and maintenance plan you don’t currently have
  • A portfolio acquired from a previous owner or manager with unclear maintenance history
  • Budget cycles that get blown up by surprise repairs that a plan would have anticipated
  • Wanting to phase larger expenses over multiple years instead of facing them all at once
  • Difficulty deciding which items justify a full capital project versus ongoing maintenance

How pricing works

Deferred maintenance planning is priced around the scope of assessment needed and the size of the property or portfolio being planned for.

  • Assessment fee. Covers the site review, documentation, and the prioritized plan itself. Starting at $299..
  • How this connects to recurring-inspections. Our recurring inspections service is often the data-gathering step that feeds directly into a deferred maintenance plan. If you’re already enrolled in recurring inspections, that inspection history gives us a head start on the assessment; if not, we can still build a plan from a dedicated site review.
  • How this connects to capital-improvement-coordination. Deferred maintenance planning is the forward-looking budgeting step. When the plan identifies larger items, a roof nearing end of life, aging major systems, exterior work beyond routine repair, capital-improvement-coordination is the execution step that carries those items through to completion once you’re ready to act.
  • What the plan itself doesn’t include. The plan is a budgeting and prioritization document. Repair or capital work identified in the plan is priced and scheduled separately as it’s executed.

As general market context, not a Transit & Flow Group quote, industry data referenced by the Community Associations Institute (CAI) puts professional reserve and capital planning studies for multifamily and commercial properties commonly between $3,000 and $10,000 depending on property size and complexity, a useful benchmark for what documented planning work typically costs in the market. Final scope and price subject to verification once we’ve reviewed your property, portfolio, or project.

What’s included

  • A documented site assessment identifying accumulated deferred maintenance items
  • A prioritized plan ranking items by urgency, risk, and estimated cost impact
  • A multi-year budgeting framework you can use for owner or lender reporting
  • Recommendations on which items fit routine maintenance versus a larger capital project
  • Integration with existing recurring inspection history where available

What’s not included

  • The repair or capital work itself, which is priced and scheduled separately once you’re ready to proceed
  • Ongoing scheduled inspections, which are covered under our recurring-inspections service
  • Execution of larger capital projects identified in the plan, which is covered under capital-improvement-coordination
  • Financing arrangements, though the plan can be structured to support financing discussions with your lender

Planning for deferred maintenance in Central Ohio

Central Ohio’s freeze-thaw winters and clay soil conditions accelerate wear on roofing, exterior systems, and foundation-adjacent drainage in ways that compound if left unaddressed. Older properties in neighborhoods like Hilltop, Whitehall, and parts of the Near East Side often carry a longer list of accumulated deferred items simply due to age, while newer properties in growth areas like New Albany, Dublin, and Lewis Center are approaching the point where builder-grade systems begin reaching end of life on their own schedule. A documented, prioritized plan helps owners and managers across either type of property avoid the two most common outcomes of unmanaged deferred maintenance: a surprise capital expense, or a small issue left long enough to become a much larger one.

Our process

  1. Request property support. Share your property or portfolio details and any existing maintenance or inspection history.
  2. Site assessment. We conduct a documented review of accumulated deferred maintenance items, using existing inspection history where available.
  3. Prioritization. Items are ranked by urgency, risk, and estimated cost impact.
  4. Budget framework. We build a multi-year plan that phases larger expenses in a way that fits realistic budget cycles.
  5. Plan delivery. You receive the documented plan for your own use, for owner or lender reporting, or as the basis for scheduling execution.
  6. Execution handoff. When you’re ready to act, items move to routine repair, vendor coordination, or capital-improvement-coordination depending on scale.

Services completed by appropriately qualified professionals where required.
